How to Choose an Event Planner in Bhandara: 10 Key Questions

Bhandara does not have a huge pool of event planners, so the choice often comes down to two or three names, a few Instagram reels, and a friend's recommendation. That is not enough to commit a large chunk of your wedding or celebration budget. Before you pay an advance to any event planner in Bhandara, sit across from them and ask these ten questions. How they answer tells you more than the portfolio does.

The 10 questions to ask

1. Have you worked at my venue, or in this part of Bhandara, before? Local experience means they know the power situation, the access for trucks, the nearest flower supply, and how long setup really takes. A planner who mostly works in Nagpur should be upfront about travel and crew lodging costs.
2. Can I see full photo sets from three recent events like mine — not just the highlight shots? Anyone can post five good frames. Ask for a complete gallery so you can judge the sides, the entrance, and the finish, not just the hero angle.
3. What exactly is in the package, itemised, and what is not? You want a line-by-line list: stage, entrance, seating, lighting, labour, transport. Vague packages hide the gaps you discover on the event day.
4. Will you put it in a written contract with the scope, dates and a quote breakdown? A proper agreement protects both sides. No contract is the single biggest risk in this business.
5. What is the payment schedule? Normal is an advance to block the date, a milestone payment a few weeks before, and the balance on or just before the event after you approve the setup. Be very cautious of anyone demanding full payment upfront.
6. Will you do a site visit with me before finalising the design? A design made from photos alone often does not fit the actual space. A planner who wants to see the venue is doing the job properly.
7. Who is my point of contact on the event day, and how many crew will be on site? You need one name and number, and a realistic crew count for the scale of your function.
8. What is your plan B for rain, a power cut, a flower-supply problem, or a vehicle breakdown? Every experienced planner in Vidarbha has dealt with all four. A blank look here is a warning.
9. Can you work to my budget, and what would you adjust to hit it? A good answer is specific — "artificial florals on the passage, fresh only on the stage." A bad answer is "we'll manage."
10. What is your cancellation, postponement and refund policy, and what happens if I am not happy with the setup on the day? Get this in writing before you pay, not after.

Red flags

• Shows only edited highlight photos and will not share references or numbers to call
• Demands 100% advance, or cash only with no receipt
• No written contract, or a one-line quote with no breakdown
• Refuses a site visit
• Pressures you to decide today "for this price"
• Is vague about who actually executes the work — everything is subcontracted with no one accountable
• No company name, no GST, no receipt

Checking a portfolio properly

• Ask which photos are their own work and which are inspiration pins.
• If a setup is happening near Bhandara before your date, ask to visit while it is being built.
• Call two past clients and ask four things: was it on time, was it on budget, did it match the plan, and how were problems handled on the day.
• Read Google and wedding-platform reviews — and look at how the planner responds to the negative ones.

Contracts and payments — what normal looks like

A typical structure is a 25% to 40% advance to block your date, a milestone payment two to four weeks before the event, and the balance on or just before the event day once you have seen and approved the setup. Every item should be listed. There should be a postponement clause, and any change you request later should be priced in a written change order rather than settled verbally on the morning.
